Pri­vacy Pol­icy State­ment & Gen­eral Disclaimers


World­wide Foren­sic Ser­vices Inc.(“WWFS”) rec­og­nizes the impor­tance of pri­vacy and secu­rity of per­sonal infor­ma­tion. The “Per­sonal Infor­ma­tion Pro­tec­tion and Elec­tronic Doc­u­ments Act” and the “Cana­dian Stan­dards Asso­ci­a­tion Model Code for the Pro­tec­tion of Per­sonal Infor­ma­tion” require all busi­nesses engaged in com­mer­cial activ­ity to com­ply with the act and the code.

WWFS col­lects and dis­closes fin­ger­prints and the other per­sonal infor­ma­tion by law­ful and fair means that are not rea­son­ably intru­sive. This infor­ma­tion is col­lected and dis­closed in order to facil­i­tate the pro­cess­ing of crim­i­nal his­tory searches. We have pre­pared this pri­vacy pol­icy state­ment to describe the mode in which WWFS col­lects, uses and dis­closes per­sonal information.

What per­sonal infor­ma­tion do we collect?

In order to facil­i­tate the pro­cess­ing of crim­i­nal his­tory searches, we col­lect per­sonal infor­ma­tion from an appli­cant which may con­sist of individual’s fin­ger­prints, full name, date of birth, place of birth, height, weight, gen­der, address, phone num­ber, per­sonal biographical/descriptive infor­ma­tion, driver’s licence num­ber, pass­port num­ber, email address, pho­to­graph and the other iden­ti­fi­ca­tions deemed nec­es­sary to ver­ify the applicant’s iden­tity to ensure the accu­racy of crim­i­nal his­tory search. We may also record the infor­ma­tion col­lected from the iden­ti­fi­ca­tion document(s) vol­un­tar­ily pre­sented by the appli­cant for iden­tity verification.

Pur­pose for col­lec­tion of per­sonal information:

We col­lect your per­sonal infor­ma­tion for the pur­pose of sub­mit­ting it to the Royal Cana­dian Mounted Police (“RCMP”), the other law enforce­ment author­i­ties, and/or their des­ig­nated agents to enable them to con­duct crim­i­nal his­tory searches. By pro­vid­ing per­sonal infor­ma­tion for the pur­pose of obtain­ing crim­i­nal record search either by fin­ger­prints or sim­ply by name search, you have auto­mat­i­cally given con­sent to WWFS to use that infor­ma­tion for the pur­pose stated within that request.

Pur­pose for col­lec­tion of pay­ment card information:

WWFS col­lects credit or debit card infor­ma­tion and the sig­na­ture of the payer for pro­cess­ing of pay­ment for the ser­vice we ren­der. We do not col­lect or dis­close related pay­ment card infor­ma­tion for any other purpose.

How is per­sonal infor­ma­tion maintained?

The secu­rity of per­sonal infor­ma­tion is an impor­tant ele­ment of WWFS ser­vices. WWFS stores and main­tains per­sonal infor­ma­tion in com­pli­ance with the require­ments of the “Per­sonal Infor­ma­tion Pro­tec­tion and Elec­tronic Doc­u­ments Act” and the “Cana­dian Stan­dards Asso­ci­a­tion Model Code for the Pro­tec­tion of Per­sonal Infor­ma­tion”. The appro­pri­ate phys­i­cal, tech­ni­cal and admin­is­tra­tive mea­sures have been put into place to pro­tect the pri­vacy and integrity of your per­sonal information.

WWFS does not pro­vide third party access to your per­sonal infor­ma­tion except when con­sented by you or allowed by you at the time of elec­tron­i­cally sub­mit­ting your fin­ger­prints. This access is to facil­i­tate your own wish to direct the crim­i­nal his­tory search result from RCMP or the other agency to the person/agency/company of your choice. Unless instructed by you by way of con­sent, WWFS is not involved in the dis­tri­b­u­tion of the crim­i­nal his­tory search results, nor do we receive a copy of such results.

WWFS does not sell, rent, trade, dis­close or oth­er­wise trans­fer your per­sonal infor­ma­tion to third par­ties, with­out your con­sent, except as oth­er­wise set out in this Pri­vacy Statement.

Lim­it­ing Col­lec­tion of per­sonal information:

WWFS restricts the col­lec­tion of per­sonal infor­ma­tion that is nec­es­sary for the intended pur­pose. The per­sonal infor­ma­tion is col­lected in a fair and law­ful manner.

Lim­it­ing use, dis­clo­sure and reten­tion of per­sonal information:

WWFS will dis­close your per­sonal infor­ma­tion if required by law to do so, for example:

• In response to subpoena

• Search war­rant

• To an inves­ti­gat­ing body

• Legally valid inquiry

• Or oth­er­wise required by law

We may also dis­close your per­sonal infor­ma­tion when:

• You have given con­sent to the disclosure

• Where it becomes nec­es­sary to estab­lish or col­lect fees

• If the infor­ma­tion is already pub­li­cally known

We keep per­sonal infor­ma­tion only for as long as it is needed and only for the ful­fill­ment of the pur­poses for which it was orig­i­nally collected.

Third party pro­cess­ing agents:

From time to time, we may avail the ser­vices of RCMP autho­rized third party to assist in pro­cess­ing of crim­i­nal his­tory searches and/or trans­mit infor­ma­tion to an agency to con­duct crim­i­nal his­tory searches. In such sit­u­a­tions, we may disclose/transmit your per­sonal infor­ma­tion to the third party ser­vice provider.

Pay­ment by a third-party:

When a third-party (e.g. an employer or prospec­tive employer) will be pay­ing for our ser­vices, we may pro­vide your name and other iden­ti­fy­ing infor­ma­tion to the said third-party for con­firm­ing that we are pro­cess­ing pay­ment for the ser­vices ren­dered for you.

Individual’s access to per­sonal information:

You may ask to access or to cor­rect for any fac­tual errors in your per­sonal infor­ma­tion that WWFS will hold about you. To pro­tect your pri­vacy, we will take rea­son­able steps to estab­lish your iden­tity before grant­ing access or mak­ing cor­rec­tions if any.

We may deny access:

• When the request is friv­o­lous or vexatious

• Denial of access is required or autho­rized by law

• Infor­ma­tion relates to exist­ing or antic­i­pated legal pro­ceed­ings against you

• When doing so would prej­u­dice nego­ti­a­tion with you

• To pro­tect company’s right and property

• When grant­ing you access would have an unrea­son­able impact on other peo­ples’ privacy.

Changes to the Pri­vacy Statement

This Pri­vacy State­ment may be updated to reflect changes in our per­sonal infor­ma­tion secu­rity prac­tices. The revised Pri­vacy State­ment will be posted on the web­site. Please check back periodically.

We inves­ti­gate all com­plaints received by us in a timely man­ner. We take appro­pri­ate mea­sures to respond to the mat­ter to the sat­is­fac­tion of the complainant.
